    Default DRTC Nats Bid Proposals

    For all that are interested in submitting a proposal for a DRTC National Meet, please try and get your proposals wrapped up and submitted by Dec. 31. We would like to have proposals early so that we can go over them and have enough time for people to provide us any additional information before we make a decision.

    The proposals themselves don't have to be that complicated. At least not up front. In no particular order we need to know:

    Date
    Location
    Theme
    Estimated costs for the event.
    Host hotel and room rates. Alternative hotel and rates.
    Planned Events- S&S venue, Drag racing venue, Autocross venue, etc.
    Banquet/Awards Facility location.
    Back Up/ Alternative Plans (in case of a rain out).
    Local Attractions
    Closest Brewery and Go Kart Track
    etc.

    Updated last years thread on this subject for those of you interested in submitting bids for a future National Meet.

    More details:
    Theme:
    We'll need a general theme name for the event in the proposal.
    We don't necessarily need artwork right away, but if your proposal is accepted, you'll need to come up with artwork for the awards and T-shirts.
    We generally need this done in Vector format (Adobe PDF). And you should have this ready to submit when we order the shirts and awards.

    Hotel(s):
    Include the name, location, and rates of both the host hotel and an alternative hotel. If the hotel offers group rates (without signing a contract), include those as well. We can look into reserving a block of rooms if your proposal is accepted.

    Agenda/Planned Events:
    Your proposal should include a rough agenda of the events you are planning.
    It doesn't need to be time specific in the proposal.
    Include where the event will be, the venue, and the day of the event (if possible).

    Banquet/Awards facility:
    Include where the banquet be held and the day (if possible).
    In the past, the banquet is often held at the host hotel, or at the S&S venue. You may also choose an alternate location.
    Include your plans for the banquet. Will it be catered? Or a BBQ? Restaurant?

    Estimated Costs:
    We'll need to know if we are piggy-backing off another event for racing, or autocross, etc.
    We'll need the costs for racing, autocross, S&S venue (if any), and the banquet ( a cost per person estimate is fine for the banquet)
    You don't need to estimate the costs for T-shirts, awards, truck numbers, or meet registration fees. That will be handled by the exec board. The meet registration list, shirt sizes, guest list, and racing classes are handled by the board as well.

    Alternative plans/ Local attractions:
    Have a back up plan ready in case the drags get rained out. You may have local attractions that you can fall back on. A brewery/winery tour, factory tour, go-carts, or car museum, etc. Include locations and prices.

    Extra Credit:
    It's not necessary in the proposal, but you may want to include a list of local restaurants or other local attractions in your area.

    If your proposal is accepted, then the REAL work begins.
    1. Theme artwork
    2. Hotel room block reservation
    3. Misc costs like chair/table rentals (if needed).
    4. A more detailed timeline of scheduled events.
    5. Working with the exec board to nail down meet fees and other logistics.
    6. Contacting vendors for donations/prizes for the event. (The exec board will work with you on this). This is the most time consuming responsibility, and one of the most important.
